China Visa Online Application and Verification Procedure
Starting from June 30, 2025, all applicants (excluding applicants for Chinese Hong Kong/Macao visas) must first complete the application form and upload documents online. Only after the online review is approved, can applicants come to the Chinese Visa Application Service Centre in Medan to submit physical documents. (Applicants for diplomatic, service visas, etc., please continue to submit documents directly to the Consulate General of China in Medan).
STEP 1: Online Visa Application Form Filling
Note: One passport is only valid for ONE online Chinese visa application form.
1.1 Create Account and Sign In: Click the "Create Account" button in the upper right corner of the webpage and register using a valid email address. After successful registration, return to the webpage and click the "Sign In" button in the upper right corner to log in using the registered email and password.
1.2 Fill in the Application Form:Click the "Application Form" button.
Important: Ensure you have correctly selected “Medan” in “ the city you have chosen for your visa application", as we only accept applications submit to "Medan" city. If an incorrect city selection is found after pressing the "Submit" button, the applicant MUST contact the visa center/Chinese Embassy/Consulate General that was (incorrectly) chosen previously to request cancellation/withdrawal of the previous application. Only then can a new form be filled out.
1.3 Complete Form and Upload Documents: Fill out the application form according to each visa applicant's situation and upload relevant documents, including passport, photo, and other required supporting documents.
1.4 Submit the Application: Once the application form is completed and checked, click the "Submit" but. on the "Pay" page. Please note that:
(1) The status will show as "pending" if the "submit" button is not clicked;
(2) Online payment is currently not available. Payment can only be made at the Chinese Visa Application Service Centre in Medan after the online review is completed.
1.5 Wait for Initial Review and Online Verification: (Applications can be submitted offline at the Chinese Visa Application Service Centre in Medan after the online review is completed).
(1) Applicants may receive an email requesting additional document uploads/modifications. The status changes to "Rejected". Make modifications and resubmit. The status will change to "Under review".
(2) If the online review is completed, the applicant will receive a confirmation email with the status "Online review completed". Print the attached Visa Application Certificate and bring it to the Chinese Visa Application Service Centre in Medan along with other documents (see Step 2).
(3) Monitor the application status through the Applicant's account.
Please Remember: Receiving the confirmation email of online approval for your application does NOT mean that your visa has been approved!
STEP 2: Offline Submission at the Visa Centre (After online verification is completed. Appointment not required.)
2.1 Submission at the Visa Centre:
Mandatory documents to bring include:
(1) Visa Application Certificate (attachment of the approval email);
(2) Original current valid passport and old passports (in the past 5 years, if any);
(3) Passport-size photo, if the uploaded one is deemed non-compliant (taken within the last 6 months, white background, no hat, color, small size 2 inches 48mm×33mm);
(4) Original previous Chinese passport (if the applicant was formerly a Chinese citizen and is applying for a Chinese visa for the first time);
(5) For Q1 or S1 visa applications, please bring the original proof of family relationship;
(6) If necessary, consular officers reserve the right to request other supporting documents, additional documents, or an interview with the applicant.
2.2. Biometric Data Collection (Fingerprints and Photo):
All applicants holding ordinary passports will be asked to provide fingerprints and have their photo taken, except for:
(1) Until December 31, 2025, applicants for short-term visas (intended duration of stay less than 180 days) for single or double entry;
(2) Applicants who have had fingerprints collected within the last five years at the Chinese Visa Application Service Centre in Medan with the same passport;
(3) Applicants under 14 years old or over 70 years old;
(4) If all ten fingers of the applicant are defective, fingerprinting is not required.
Except for the exemptions listed above, applicants must appear in person for fingerprinting and photo capture. Anyone found forging fingerprints and photos or using another person's fingerprints and photo will be denied entry into China and bear all resulting consequences.
2.3 Payment: Visa fee and service fee can be paid in cash, by bank transfer, or by QR code.
STEP 3: Passport/Visa Collection
The calculation of working days for visa processing starts from the day the passport is submitted at the Visa Centre. The submission day counts as the 1st working day:
▪️ Regular Service: Collect on the 4th working day.
▪️ Express Service: Collect on the 3rd working day.
Please collect the visa & passport during working hours at the Visa Center by presenting the original Collection Receipt.

▪️ Regular Passport Collection: 13:00 - 16:00
▪️ Express Passport Collection: 14:00 - 16:00
The Service Centre is closed on Saturdays, Sundays, and National Holidays.
